Name List QR Photo Job Workflow

Overview

Name List QR is a revolutionary feature of the Entagged app that offers a virtual replacement for printed QR cards ensuring smooth, efficient QR tagging on picture day. With just a tap on a name in the app, Name List QR displays a QR code on-screen for you to photograph – just as you would when QR tagging with printed QR cards. It is a more streamlined alternative to manually generating and printing or displaying QR cards as PDFs with powerful features for managing sign ups, sorting and finding names on-site.

Until May 31st, 2025, the full functionality of Name List QR is available to all GotPhoto users for free. After that, you can still use the Name List QR feature; however, the ability to edit and add names will only be available with an active Names List subscription.


Name List QR is a feature of the Entagged app and functions very similarly to the Entagged Name List feature but does not require an Entagged device. This also makes it ideal for when you can't use the Entagged either due to tethering, incompatible cameras or as a backup to use when you forget your Entagged or aren't able to use it for other reasons.

Important if you usually use an Entagged: When using Name List QR, no codes will be sent to the camera. The app will warn you when switching to this screen of the Entagged app so you don’t accidentally use Name List QR instead of the standard Name List feature (requiring an Entagged). First Time Setup

If you already have an Entagged Name List subscription, you can simply open the Entagged app and you’ll see the new screen in the app menu. Entagged Name List and Name List QR run on the same subscription. 

If you've never used the Entagged or Name List:

  1. Download and install the free Entagged app from the Apple App Store  or the Google Play Store .

  2. If you only wish to use the free version skip to step 5. You won't be able to edit or add subjects but QR cards will still appear upon tapping a name.

  3. If you wish to use the paid features (editing and adding subjects), subscribe to the Name List feature at the bottom of the Your Plan page in your GotPhoto dashboard. You can reach this page by selecting My Account in the dropdown under your name, and then clicking on My Plan in the lefthand menu.

  4. Choose the subscription option that works best for you - monthly or annual.

  5. If you don't have an Entagged, you can ignore the "+ Add device" button and continue to the next step. If you do have an Entagged, you can follow the steps here to activate and use the Entagged Name List.
  6. In the Entagged app, navigate to the Name List QR screen, then log into the GotPhoto account associated with your Name List subscription.
Planning Phase

Setting up your Photo Job involves steps within your GotPhoto account and within the Entagged app.

  1. Within your GotPhoto account, create a new job and set the tagging method to QR Tagging with List of Names.
  2. Create your names list csv file:
    • For a school job: Enter the grade information in the group column, and the teacher or homeroom information in the teacher column. 
    • For a sports job: Enter the team name in the group column, and add the coach's name as well in cases of multiple teams within a division (e.g., U12-14 Fernandez or Wildcats).
    • If you are using batch shipping, we recommend adding both the grade and teacher/team and coach information into the group column. Only the information that is listed in the group column will be transferred to your lab, so this will facilitate the distribution of the orders later.

  3. Upload and import the name list into your Photo Job.
  4. In the Entagged app, tap on the Folder with the "+" icon:
  5. Tap on Add from account... and enter your GotPhoto account credentials:
  6. You will now see a list of your jobs that are either set to planning, selling, or prepay. Tap the job you would like to import.
  7. You now have the option to adjust the Project Name if necessary. In addition, you can adjust the grouping. By default, the grouping is set to Group → Teacher, meaning that you will have main folders for the group (e.g. grade 9), and subfolders for the teachers (e.g. Mr. Miller).
  8. Make sure to add spare subjects for subjects who aren't on your name list ahead of time. This will ensure you will be able to add unexpected subjects during your shoot, even if you do not have Internet access.
  9. If needed, you can also adjust how often the app will sync with your GotPhoto account by clicking on the button under the Synchronization header.
  10. Tap Done to save. It may take a few moments for the save to be completed.

Your job is now listed under your projects and is available to use on Picture Day. You're good to go, even without an Internet connection!

Picture Day Phase
  1. Prepare the camera. If you previously used an Entagged device with it, make sure to delete the last saved barcode. Then open the Entagged app and navigate to “NAME LIST QR”.
  2. Tap on the project you've imported for this shoot. Unless you made changes during your import, subjects are grouped by grade and teacher.
  3. Find the subject you would like to photograph. You can do this via the groups within the project, but you can also search for any subject using the magnifying glass or swiping down to reveal the search bar.

    Pro Tip: Sorting Your Subjects

    Subjects can be sorted by first name, last name, code, or the original sorting of your imported names list. To change your sorting method:

    Tap the pencil icon next to the group or project name. This action can be done on any level of a job.
    Tap the icon in the bottom toolbar, and then select your preferred sorting method. This method will automatically be applied to all other Photo Jobs.
  4. Tap on the name of the subject you are about to photograph, and a QR code will appear. It will be turquoise for a second before turning black.
  5. Photograph that QR code and then take the desired number of shots of your subject.

      Best practices for optimal use

    • Increase screen brightness to ensure clear QR code visibility.
    • Angle the screen slightly to avoid glare.
    • Overexpose the frame if necessary to enhance the contrast of the QR code.
  6. If an error occurs, a red frame will appear, and an error message will indicate the issue. 
  7. A checkmark will appear next to the name in the list for easy assessment of tagged subjects. You can always tap the checkmark in the list to uncheck a subject.

      Pro Tip: Check/Uncheck Whole Groups

    Tap the pencil icon next to the group name.
    Tap Select All in the upper left corner
    In the bottom toolbar, tapping the icon will check all selected subjects, and tapping the will uncheck them.
  8. Repeat with the rest of the subjects in the group. Please note that buddy/sibling shots are not possible at the moment as the app can only display one QR c
  9. When you're ready to move on to the next group, tap the back arrow to select the next group.
Editing, Adding, or Deleting Subjects on Picture Day
We know that things don't always go as planned during a shoot, and you may find yourself with incorrect subject data or even additional subjects to photograph that aren't on your name list. Follow the instructions below to address these scenarios:
Edit an Existing Subject Add a Missing SubjectDelete a Subject
Navigate to the subject's group, and tap the pencil icon next to the group name.
Select the subject's name to select them, and then tap the pencil icon in the bottom toolbar.
It's time to edit the subject's information. See below for more details on what can be altered.
We DO NOT recommend editing the subject's barcode, as this can negatively impact your tagging.


To change a subject's group, tap on their group name and then select the group you would like to place them in. You can also tap on New Group. This will take you back to the subject's information and open an empty text field for you to type the new group name into. Please note: A new group cannot be created if a subject is not selected.
The same can be done with the Teacher category, if applicable.

If you would like to edit a subject's information beyond name, group, teacher, and buyer information, tap on Additional Information to see the full range of editable options (full address, gender, birthdate, institution, identifier).
When you are finished with your edits, tap the yellow Save button, and back on the screen with the list of names, tap Done.
Review Phase
  1. If you'd like to delete projects from the Entagged app, you can do so by tapping the pencil icon, selecting the project, and then tapping the trash icon.
  2. Upload your photos. Make sure to use one of the faster upload methods (i.e., not browser upload). Within their galleries, images will be sorted in alpha-numerical order. If you used both the Entagged device and virtual QR cards, please upload the photos separately. This ensures they appear in different albums in Photo Management initially to prevent any activation issues. You’ll be able to reassign them to their correct group, class, or team albums in the following step.
    ⚠ Important: If you need to change any student information after you have already uploaded your photos, DO NOT upload a new Name List, as this will render your automatic tagging unusable. Please update your student data manually via the Manage Name button on the Photo Job's main settings page or from within the Photo Management tab.
  3. Proceed with the three access code activation steps described here. Apply the expert feature and resort the photos based on the names list.

    Each group will then have their own album under Photo Management. The Upload album will then be empty and can be deleted.
  4. Your job is ready to go! You can now upload any group photos, check out GotPhoto's options for easy, streamlined photo editing*, and get ready to set your job to Selling!
Make-Up Day

FAQs

Q: Do I need an Entagged to use Name List QR? 

A: No, you do not. Paying for a Name List subscription will unlock the full functionality of "Name List QR", including  editing/adding subjects on site. It’s the same “Name List” subscription used for the Entagged.

If you DON’T enter an Entagged serial number, you can use the Name List QR feature on all devices you log into with this account.

If you DO enter an Entagged serial number, you will be able to use the Entagged Name List feature only with that one Entagged, but you can also use the Name List QR feature on all devices you log into with that account (e.g., as a backup or for a second photographer without an Entagged).

Q: I am having trouble with the Name List (e.g. with importing jobs, editing or adding students etc.)

Q: I have already imported my names to the Entagged app, but I need to update/adjust my name list or add additional subjects in GotPhoto. How can I update the name list in the app afterward? 
A: Simply delete the existing project from the Entagged app, and import the name list again.  

Q: Is the subcription fee per device? We want to use the feature on multiple phones.

A: No, it is per account. You can use the feature on any number phones that you have the installed the Entagged app and have logged into your GotPhoto account on.
