Picture Day Phase Checklist

We're thrilled to have you on board with GotPhoto, and we're here to ensure your photo jobs run seamlessly!

To help you get started, we've put together a handy checklist of tasks to set up your upcoming photo jobs. The tasks on this page are all related to the Picture Day Phase of your job.

We've outlined the critical steps for making your Picture Day a success:

1. Get organized

Picture Day can be hectic and full of surprises, but staying organized throughout the day can help you make sure everything runs as smoothly as possible. Some things to keep in mind:

  • Explain your itinerary to your organization’s staff, and enlist their help in filling out subject information on your QR cards (if applicable).
  • Set up the space for your photo shoot.
  • Choose an appropriate spot for group photos (if applicable).
  • Make sure you have some extra blank QR cards (and a pen!) on hand for any last-minute additions!
  • Plan your poses ahead of time to make sure you get the best shots possible!

2. Take photos

The following instructions explain how to capture photos in a way that ensures they are properly sorted using the GotPhoto system. You can choose one of three methods:

Shooting with QR cards

  • Group photos: Start with these before continuing to individual shots. These will be accessible to all subjects in the group, so no QR cards are needed.
  • Individual photos:
    1. Take a photo of the subject's QR card (make sure the full name, group, and QR code are visible). Learn how to shoot QR codes correctly.
    2. Take all of that subject's individual shots. All photos after the QR card (and before the next subject’s QR card) will be linked to that code.
    3. Return the QR card to the subject. For group settings like schools, you may hand cards to teachers instead. If using multiple access codes (e.g., in dance photography), give all cards at the end of the session.
    4. Proceed to the next subject by taking a photo of their QR card.
  • Buddy/Sibling shots: If requested, follow the appropriate workflow for buddy and sibling shots.

⚠ Important: Make sure QR cards are flat, focused, and well-lit so they can be properly scanned by the system!

Shooting with facial recognition (SpotMyPhotos)

These instructions apply to using SpotMyPhotos’ facial recognition, available to US customers on iOS devices like iPhones and iPads.

Shooting with barcodes (Entagged)

These instructions are for users of the Entagged device. If you don’t have this device, use QR card tagging instead.

  • Group photos: Start with group photos before proceeding to individuals. These are accessible to all and don't require barcodes.
  • Individual photos: Follow the full workflow in this Entagged photo job workflow article.
