Overview
This article tackles your workflow if you selected QR Tagging as the tagging method when you don't have any subject data available.
Please consider using the Preregistration for Picture Day feature if you have enough time left before the photoshoot. It allows you to collect subject data and parents' contact details for seamless communication and higher participation.
The Workflow
On the job's Settings page, select the tagging method QR Tagging and enter the number of QR cards you need. If you have an estimated or set number of subjects, add about 25% more cards to be prepared for any additional subject that will be present on picture day.
Job Set-Up
Under the QR cards tab of the job, press the blue button Generate QR cards (PDF) now
Next, you can either download the blank QR cards, add additional, or delete the cards and generate a new set of QR cards.
Picture Day is the time to photograph your subjects and a chance to capture their data. Ideally, also parent data. That allows you to target job communications.
There are different scenarios, based on the job type, that are possible:
Option 1:
- Greet the subject, ask for their name, and write it down on the QR card, add their Team / Grade / Teacher in the respective field.
- Next, photograph the QR card and then the subject.
- Hand the QR card to the subject.
Option 2 (If you have studio photo shoots with adults or a session where parents are present, e.g., a dance or sports event):
- Greet the subject, ask for their name, and write it down on the QR card, add their Team / Grade / Group in the respective field.
- Have parents scan the barcode and register for the job communication.
- Next, photograph the QR card and then the subject.
- Hand the QR card to the subject.
If you need/want to add the collected subject data to the job, there are two options.
Workflow 1
- Upload the photos with your preferred upload method.
- If necessary, sort the photos, e.g., based on the file name, to appear in the right order.
- Please ensure all QR card photos have the little green QR icon indicating the system can read the access code. If the icon is missing, please enter the QR code manually using these instructions.
- Press the blue Activate access codes button. This process will take a few minutes.
- In the next step, add student data manually:
- Next to a subject's gallery, Click Manage Individual
- In the drop-down menu, select Add a new student
- Enter all available information for the subject. At least a first or last name is mandatory to create a data set.
- The other fields are optional. Using a browser tool to extract handwritten text from photos may speed up the data entry.
- Once you are done, click Save on the bottom left.
Now, the gallery displays the subject's name.:
Their entry will now also appear on the names list of the job.
The names list will be accessible on the Settings page of your job. Switch the settings from QR Tagging to QR Tagging with the list of names and save the settings; you will now see the blue Manage Names button to access the list. -
You can now continue adding data to the other galleries.
Workflow 2
Besides adding data individually, you can also add the available information to our names list template after picture day and upload the data to the job before you upload the photos:
- Take the student data from the QR card photos and add it manually to the names list spreadsheet. Make sure to keep the respective access code from the subject's QR card.
- This workflow takes a little while. However, if you use a tool that allows you to copy text from images, this option may be the faster way for you to add the data to the spreadsheet.
- Once your names list is complete, set the job settings to QR Tagging with the list of names, upload, verify, and import the list.
- Now, upload your photos to the job.
- Afterward, follow these instructions to activate the access codes and let the system resort the photos and create albums for each group/team/class.
