The more information you have about your subjects prior to Picture Day, the better! In this article, we’ve collected the ideal info you should get from your organization before the shoot for different scenarios.
General
If you don’t have customer contact information, coordinate with the organization to share details like Picture Day date, outfit/prop requirements, and how to order online.
- When generating QR cards, your PDF will be sorted by GROUP and then by subject’s LAST NAME.

School Jobs
If yearbook photos or student IDs are requested:
Collect first and last name, grade, teacher, and the student’s ID number (Identifier column in our template). This is required for PSPA or SIMS exports.
If not requested:
At minimum, collect the student’s first and last name, grade, and teacher.
Sports Jobs
Request a roster with at least the athlete’s first and last names, team name ("Group"), and coach ("Teacher").
Dance Jobs
Request a names list with the dancer’s first and last names and the groups/costumes/styles they’ll be photographed in.
