Overview
The more information you have available about your subjects prior to Picture Day, the better! In this article, we've collected the ideal information you should try to get from your organization prior to the shoot for different scenarios.
General
- If you don't have customer contact information, you'll need to coordinate with the organization to get key information about picture day and online ordering out to customers, such as the date of Picture Day, any outfit or prop requirements, etc.
For Prepay Jobs: Your organization will need to get buyers the URL of your Prepay shop, the access code/job name, and the Prepay ordering deadline.
- When generating QR cards, the cards in your PDF will be sorted by GROUP and then by subject's LAST NAME.
- When possible, you can also include more potential buyers per subject. For a list of data that you could potentially include, click here.
School Jobs
Request a names list as follows:
If Yearbook Photos or Student IDs are requested
If yearbook photos or student IDs were requested by the school, you should collect the child's first and last name, grade, teacher, and the child's student ID number (column labelled "Identifier" in our CSV template). The Student ID number is required to run student data exports (PSPA or SIMS), which include a .zip with the index photo from each access code (gallery).
If no Yearbook Photos or Student IDs are requested
If no service items (i.e. student IDs or yearbook photos) were requested, then at the very least, you should collect the subjects' first and last name, grade, and teacher data.
Sports Jobs
Request a names list/roster. At the very least, it should contain the athlete's first and last names, team name ("Group") and coach ("Teacher").
Dance Jobs
Request a names list. At the very least, it should contain the dancer's first and last names, and the groups/costumes/dance styles they'll be photographed in.
The Takeaway
Maximize Picture Day efficiency by gathering essential information beforehand. Coordinate with your organization to obtain subject data, and utilize their assistance in sending out information to potential buyers. For specific scenarios like school, sports, or dance shoots, ensure you collect pertinent data such as student IDs, team names, and dance styles for a smoother workflow.
