Overview
You may encounter a situation where orders have already been placed and are part of an open batch, and you need to replace the group image for these orders. This is especially common with group composites - for example, when a subject needs to be added later - or when a placeholder group image was used initially because the group photos were taken at a later time. This article explains how to safely update those orders without breaking them.
Manual Revision is activated
If Manual Revision is enabled for the job and all affected orders are still in Manual Revision, you can update the group image directly in the album within Photo Management.
- Replace the group image in the album
Upload the new group image to the group section in your album using the exact same file name and file type (e.g., .png or .jpeg). This will overwrite the existing group image.
[Important] Do not delete the old group image before uploading the new one. If you delete it first, every order that includes that image will break. Broken orders cannot be transferred to the lab or fixed automatically, and you would need to manually recreate each one. - Release the orders from Manual Revision
Once the image has been replaced, release each order from Manual Revision into the batch, one at a time. This regenerates the group image for each order so that the updated version is included. When the batch is released to production, the updated orders will be sent to the lab with the correct image.
Manual Revision is not activated
If Manual Revision is not enabled and all orders are already in the batch, you will still need to regenerate them to ensure the lab receives the updated image.
- Replace the group image in the album
Upload the new group image in Photo Management using the same file name and file type as the original image. Once again, do not delete the placeholder image before uploading the new one, as this will break the orders. - Regenerate the orders using Manual Revision
Even if the orders in your open batch visually show the new image, the original image will still be sent to the lab unless the orders are regenerated.
To regenerate:- Open each affected order within your batch and click the “Review order” button (More actions menu at the top right > Review order) to move it into Manual Revision.
- Once all affected orders are in Manual Revision, release them one by one.
- This ensures that every order is regenerated with the updated group image. When you release the batch to production, the lab will then receive the correct image.
The takeaway
To successfully update group images in open batch orders, always upload the replacement image with the exact same file name and type as the original. This ensures the new image automatically replaces the placeholder in all associated orders.
Do not delete the placeholder image before uploading the new one. If you remove the old image first, the link between the orders and the group photo will be broken, and you’ll need to manually recreate each order.
