Overview
GotPhoto allows you to activate the access codes based on the names list even if you receive the names list after the picture day. In this article, we'll explain the different methods you can use to activate the access codes.
Option 1: Use metadata tagging
Metadata tagging allows you to connect the images to their access codes from the Names List. Use this step‑by‑step guide that shows you how to use a CSV template, upload metadata, and tag photos efficiently.
Note: Metadata tagging is recommended if you plan to use a QSuite product after uploading the photos to GotPhoto, as QSuite does not support manually tagged galleries.
Option 2: Manually assign an access code to images
- Upload your photos into Photo Management.
- Ensure each person’s photos are placed sequentially if each subject has multiple photos. Manual tagging won’t work if the images are randomly ordered.
- Tag the first image of each subject:
- Click the subject’s photo, then underneath the bigger preview, click Add access code.
- When the pop-up window appears, add the relevant access code from the Names List into the access code field, then click on Save.
- Click the subject’s photo, then underneath the bigger preview, click Add access code.
Option 3: Link an access code to a subject
Follow these steps to link the images to a student from the Names List, that you have uploaded into the photo job:
- After the access codes have been activated, locate the subject in Photo Management, and click on Manage individual -> Link this access code to a student.
- Select the correct subject from the list of names or by entering the access code to a Select a student field. Confim by clicking on Link the access code.

Even if the photos have already been uploaded to GotPhoto, you can still link subjects to access codes using the names list.
