Set up a Public Job

Overview

A public photo job in GotPhoto is accessible to anyone with the job’s public link. It’s ideal for large events where participants have given consent to be photographed and understand their images may be publicly available.


Prepare your public job

1. Create a new job. Please note that public jobs are not yet supported in the new shop, therefore, please use the Legacy shop for now.

2. Under the Access code Settings, select Public-no access code

Next, select either an existing web page in the drop-down menu, or create a new web page for your online shop.

 Name the new web page based on your event.

After creating the new page, please select it from the Page Name drop-down menu and save the settings.  It will show that the newly created web page has not been published yet. 

To publish the job, go to Web Page Settings:

  • Navigate to Online Shop > Pages & Menu.
  • Locate your public job's name and click Edit next to it.

  • Enable the Publish page option (indicated by a checkbox). 


3. Add your Price Profile to the job. 

  • Public jobs do not have access codes. This means, packages restricted to a single access code will not be visible in the shop and may cause customer-facing issues. Therefore, only offer unrestricted packages.
  • The Download All Photos package will not be available for a public job, as it is by default limited to a single access code. Alternatively, offer the individual download or create packages with a specific number of individual downloads. 
  • Upselling download options marked as "available for selected code" are not supported.

4. Coupon Settings

Job coupons are not supported in public jobs. Alternatively, you can create a customer voucher, however, ensure you don't restrict it to just one use, otherwise only the first customer will be able to redeem the voucher.

5. Set up your Shipping and Archiving settings.

6. Communication profiles are not supported for public jobs, as automated notifications require access codes. Customers will therefore only receive system-generated communications related directly to their orders.

7. Registration form: 

Since it is a public job, potential customers can access the shop without any barrier, the registration form is not supported. If you prefer to collect data of all shop visitors, please consider the job type one access code. 


Picture Day

You don't need to apply any tagging method, take your individual and group photos, and upload them to GotPhoto.

 You took too many photos? If you want to save time and skip manual culling, take advantage of our integrated culling service, which is easily accessible under your job's editing tab. 

To make it easier for customers to find their event pictures, organize uploads by time stamps and event segments into separate albums. For example, for a graduation ceremony, you can create albums such as:

  • Pre-Ceremony Moments: Candid shots of graduates arriving, adjusting caps, and group photos.
  • Speeches & Awards: Keynote speeches, diploma handouts, and special recognitions.
  • Stage Walks: Individual graduate portraits as they receive diplomas.
  • Celebration & Recessional: Group cheers, family hugs, and post-ceremony moment

If you want to add extra information to the shop, use the job description (found in Advanced Job Settings), or the album description (set it up under Album Settings). This helps provide precise details for customers browsing your event photos.


  Pro Tip: Preview picture

The shop will display a preview picture for the public job by default, with the system automatically selecting the first individual photo. However, you can override this selection by choosing a different cover image. 



Once everything looks nice and neat, switch your job to selling. 



Shop View

By default, your latest public job will appear as the last tab in your shop. However, you can customize the display order of your public jobs at any time by navigating to Online Shop > Pages & Menu > Manage Pages & Menu. There, you can also unpublish jobs that you no longer want to display in the shop. 

1. In your shop, your customers click the respective job name.

Next, they click the job's preview image to get to all photos. In the example below, you see a public job with just one album, further below, we also share the view if multiple albums are available (recommended for larger events to enhance the customer experience). 

For their next steps, they can either add photos to their wishlist and order products later from there, or immediately add à la carte products or a package to their cart.
