Create Albums and Edit Their Settings

Overview

Creating an album within your photo job is a practical way to organize and manage your photos effectively. In this article, we'll guide you through the steps of creating and editing an album.  We will also guide you through the steps on how to assign a different price profile to an individual album that will overwrite the job's price profile.

  Best Practices

These are our recommendations for album creation depending on the type of photo job.

  School Jobs:

In most cases, it will make sense to create an album for each teacher, with the class photo as the group photo. With this setup, every student in the album can see their own photos, as well as the class photo. If you are using a names list, you can re-sort photos based on the names list to automatically build your albums according to the group or teacher in your names list, as well as sort the right student to the right album.


  Seniors Jobs: 
Where there are different picture types within the same job, such as Formal indoor, Formal outdoor, and Cap and gown, we recommend creating an album for each picture type. With this setup, customers will see each of the albums where they have photos neatly labeled when they log into the shop and will easily be able to look through their photos.

You can also apply a different price profile on an album within a job, so you can offer different products and prices, depending on the picture type. This is set up from within the Album settings.

⚠ Important: If you are using more than one photo job in GotPhoto for this job (i.e. studio sessions over a few days/weeks), make sure to manually build your albums rather than using the re-sort photos based on the names list feature. This feature won't work if you have your names list uploaded in the main job, but are building your galleries in a secondary job.


  Sports Jobs: 

  • If you are using one access code per athlete: In most cases, it will make sense to create an album for each team, with the team photo as the group photo. With this setup, every kid in the album can see their own photos, as well as the team photo. If you are using a names list, you can re-sort photos based on the names list to automatically build your albums according to the group (team) in your names list, as well as sort the right athlete to the right album.
  • If you are using one access code for the whole job: make sure to use different albums for each team so that customers can easily locate their team's album in the shop rather than having to scroll through all images looking for their child.

  Dance Jobs
In most cases, you can upload all the dancers' photos into one album, and customers can view all the different costumes in one place. Another option is to create albums for each group or costume so that customers can see each of the albums neatly labeled when they log into the shop. If you are using a names list and want to create an album for each costume, you can re-sort photos based on the names list to automatically build your albums according to the group in your names list, as well as sort the right dancer to the right album.

Create an Album
  1. Within the photo job, go to the Photo Management tab.

  2. Select + Create New Album.

  3. Name your album. You will always be able to adjust the album settings later on.

  4. Under Advanced Settings, you can select if you want this album to be available to everyone in the job (optional). If selected, the album will only include space for group photos and you will not need to upload QR cards. This setting cannot be undone after the album is created.

  5. Select Create New Album.

Inside the album, there will be two different categories for photos:

  • Group: These photos will be visible to everyone within the album (i.e. all subjects within the album will be able to see any group photo(s) within that album).
  • Individuals:  Only the subject with that access code can view these photos (i.e. there can be multiple subjects in the individual section of the gallery, but they will only be able to see their own photos).
Editing Album Settings

Once an album has been created, you can access the album settings if you need to make any changes.

Under Album Actions, select Edit Album Settings.


From here, you can:

  1. Modify the name of the album
  2. Attach a price profile just for that album, which will overwrite the job's price profile. Once you have assigned a different price profile to your album, it will be marked with a green label showing the name of the album's price profile.  GotPhoto - Sell photos - the complete solution (25).png Important: Please use a price profile with products from the same lab as the job's price profile.   
  3. Add a description for the album, which will be displayed next to your customers' photos in the proofing shop

Make sure to save your changes before you leave!

Albums allow you to efficiently categorize your photos for viewing by groups and individuals. Edit your album settings at any point to meet your photo job needs.
