Overview
Life happens! Sometimes you will need to hold a Makeup day for some of your subjects. In this article, we will look at GotPhoto's new workflow to make Makeup days a breeze.
This article reviews the workflow for proofing jobs. For Prepay jobs, please check out this section of the Prepay Workflow Article.
Functionality
You can now easily add one or multiple sub-jobs to your photo jobs for Makeup sessions. This keeps your photo jobs organized, prevents lost images, and allows separate tracking of orders and statistics. Gain clearer insights into effort and revenue for Makeup days, helping with planning and pricing.
Here's how a job with a Makeup day sub-job appears in your Photo Job overview. A ˄ symbol next to the job name indicates a collapsible section. Clicking it reveals the associated Makeup day(s), keeping your job list structured and organized.
Workflow
- Create your job as usual, upload the names list, set up the job Settings, and upload the photos and activate the codes after the main picture day. For now, please use the current shop, as the new does not yet support the shopping across jobs functionality. Once you have uploaded a names list to your job and know the retake day's date, you can prepare for it: On your Photo Job's main settings page, click the blue + Add Makeup day button at the top of the page:
- On the following page, provide the supplementary details for your Makeup day. It is recommended to include "Makeup Day" in the job name along with the date of the Makeup day. This will help you easily distinguish between multiple jobs later. Afterward, click Save job:
- Next, you'll find the Makeup day Starting Guide, a handy checklist to walk you through the preparation and execution of your Makeup day. It will also appear as a tab in your Makeup job so that you can refer to it anytime:
- Step 1 & 2: Download a list of names CSV file of subjects who were absent on the first Picture day. There are two ways to use this list:
- Entagged users: Import this list to your Entagged app for Makeup day, or use the main job's names list for tagging and the absentee CSV file as a list to check off all missing subjects.
- QR code users: Open the QR card PDF of your main job in a PDF reader on Picture Day and quickly search for absentees using the missing students list. Capture their QR codes directly from your screen.
Step 3: Update your Makeup day job settings as necessary. Per default, your Makeup day job will have the same settings as your primary job. Ensure your yearbook photo, price profile, coupon, shipping and archiving settings are correctly configured and the deadlines align appropriately with your Makeup day. Set up an automated campaign (formerly known as a communication profile) specifically for your Makeup Day. This campaign will target students who were absent on Picture Day, providing their parents with a more personalized experience. Duplicate your preferred automated campaign, rename it (e.g., "Makeup Day Campaign," and adjust the wording of the first notifications (e.g., "Your Makeup day photos are ready!").
Finally, save your settings. We also recommend reviewing your Makeup day’s Advanced Job Settings (Job Settings > Actions > Advanced Job Settings) to ensure that the default settings from your main job align with your needs.
Step 4: Upload your photos. Ensure you upload the Makeup photos to the Makeup day sub-job, not the main job. In the upper right corner, you'll find a drop-down menu that shows which job you're currently in and allows you to switch between the make-up day sub-job and the main job as needed.
If you used QR cards, activate the access codes as usual and sort the images based on your names list, just as you would for a regular job. If you used Entagged, upload and resort the photos as you normally would.
Step 5: Set your job to Selling.
Step 6: Create your student data export
The new Makeup day feature gives you the flexibility to create a yearbook export for all subjects- including students photographed on the main job as well as those captured on Makeup day- or to export their photos and data separately. Here's a quick run-through:
Your Job Statistics
Under the Statistics tab within the job, you can export the student data separately for your main job and any Makeup day job(s), depending on your needs.
Additionally, when working in your main job, you can filter the statistics to show data for all jobs combined or each job individually.
Q&A
I don't see the feature in my account. Where can I find it?
Ensure your job is set to the access type QR Tagging with a list of names. The blue button will appear after uploading and importing your names list.
What if I need to add additional students for the Makeup Day?
Add the students to the main job and recreate the QR cards for any missing ones if they were generated earlier. Alternatively, if you have already taken photos and need to tag them, adding a student via Photo Management will automatically include them in the main job’s name list.
Is there a limit on how many Makeup Jobs can be added? The intended use case for this feature version is in a school setting, specifically for managing 1-2 Makeup days. However, it is technically feasible to accommodate additional makeup days. We have tested the system with up to 5 Makeup jobs.
My job is set to Registration for Picture Day- Can I use the Makeup Day feature?
Yes, to create a Makeup day job, first switch the job settings to "QR Tagging with List of Names." You can switch the settings back after creation if registrations are still open. Once registration is closed, switch the job settings to "QR Tagging with List of Names."
If I apply changes to the main job after the Makeup Day creation, will they be carried over to the Makeup Day?
No, you must manually apply the changes to the Makeup day job.
Can I use GotPhoto's editing services separately for the primary and Makeup Day jobs?
Yes, you can request the service in every individual job.
If I archive the main job, will the Makeup Day job be archived too?
No. Unless you archive the Makeup day too, the galleries will still be available for customers in the shop.
The Takeaway
GotPhoto's new Makeup day workflow simplifies organizing and managing retake sessions. You can now add sub-jobs to your main photo jobs, ensuring better order tracking, preventing lost images, and providing clearer insights into revenue and effort.
