Create a Communication Profile

Overview

GotPhoto’s communication profiles are a fast and efficient way to market to your customers with very little effort! You can choose certain moments in the job lifecycle to automatically trigger communications to go out to your customer (e.g. picture day reminders, pictures being online, promotions, and more!). Once a price profile has been created, you can link it to multiple jobs. In this article, we'll review how to create a new communication profile, and how to duplicate and edit an existing profile.


Create a New Communication Profile

If you don't want to start from scratch, you can also use the standard communication profiles that come in your GotPhoto account or duplicate them to make your own changes.   1. Go to Settings Communication Profiles:

  2. In the upper-right corner, click the blue + Create Profile button.

  3. Name your communication profile, then click Next.

  4. Now you can start adding notifications to build your profile.

Copy and Modify an Existing Communication Profile

Your GotPhoto account automatically comes with a series of standard communication profiles that you can use for every segment and selling method. If you want to put your own twist on them, simply create a copy and make your changes.

  1. Go to Settings Communication Profiles:

  2. Find the communication you would like to use. On the right, click on Actions, then Duplicate.

    You'll automatically be taken to the new communication profile you've created.
  3. Under Name, rename your communication profile to something unique and memorable so that you can find it easily later on and click Save (the default is the original communication profile's name with "copy" appended on the end).

  4. To the right of each notification there is an Actions menu, where you can either select:
    1. View to preview the notification
    2. Edit to make changes, and
    3. Delete to remove the notification entirely

  Best Practices: Creating New Communication Profiles

There are a few things you should make sure to include in every communication profile:

  1. Let your customers know the date(s) for picture day! You can use the "Picture Day" ([Job.date_shot]) placeholder in your message.
  2. Make sure to add any relevant information, such as outfit requirements, props to bring, and any other relevant information for Picture Day.
  3. If you are doing yearbook photos, make sure to have a message about your deadline for selecting a yearbook photo in your communication profile.
  4. For Proofing Jobs: Let buyers know how to log in to your Proofing shop:
    1. If you are using an access code for each subject: Each customer will have their own customized login link. You can easily incorporate it into your communication profile by using the [Customer.loginurl] placeholder in your message.
        Note for Dance Jobs: If you are using different access codes for different costumes for the same subject, the customer will only get 1 email with 1 login link, which will then automatically log them in to the shop, where they can see photos for all of their access codes for that job.
    2. If you are using one access code for the job: Make sure to share that code in your message.

  5. For Prepay jobs: Make sure to have a message going out to potential buyers explaining how to use your Prepay shop:
    1. Include your shop URL by using the [Photographer.prepay_link] placeholder in your message.
    2. Let buyers know if they need to enter the job name or access code to make their purchase. Use the [Job.prepay_code] placeholder to insert their access code into the message.
    3. Use the [Job.prepay_deadline] placeholder in your message to let potential buyers know when the ordering window will be closed.
