US order entry system updates in GotPhoto

Table of contents
Overview
This article outlines recent updates to the GotPhoto order entry system for US users. For complete instructions, view the Input Pre-Orders via Order Entry article.
These changes were introduced due to the transition to Dynamic Sales Tax Calculation. These updates affect both direct and batch shipping orders. Personal orders remain unaffected.
The changes
Unsaved order adjustments
A confirmation pop-up now appears if you attempt to leave an order without saving. This helps prevent accidental data loss. Additionally, unconfirmed orders will now be locked and require confirmation before processing.
- Click Proceed with order, complete customer info, confirm the order, choose the shipping method, then click Add to order collector.
- To exit without saving, click Leave page.
Shipping types and tax calculation
Batch shipping addresses are used by default. If a download is included, the order is treated as direct, and tax is calculated based on the highest rate between the batch address and billing address.
Sales tax calculation
In the Summary section, tax and shipping costs are dynamically calculated at checkout.
Changes to the order collection overview page
The new overview displays confirmed and unconfirmed orders (open baskets) after clicking Send to lab, improving order management.
Customer invoice generation
When you click Send to lab, a pop-up appears with two invoice options:
- GotPhoto generates invoices: GotPhoto collects and remits sales tax, and charges it to your monthly invoice.
- You generate the invoices: GotPhoto does not intervene in tax collection.
Important: GotPhoto still generates invoices and collects sales tax for all Prepay orders manually added to a collector.
When adding Prepay orders manually, a pop-up confirms the actions before allowing you to release the orders.
The takeaway
GotPhoto’s updated order entry system for US users enhances accuracy with dynamic sales tax and invoice handling. These updates provide flexibility and control for photographers, with minimal impact on personal orders.
