Overview

This article outlines everything Canadian photographers need to know when getting started with GotPhoto. While most system settings match the U.S. dashboard, this guide highlights key differences specific to the Canadian market.

Understand your finances with GotPhoto

This section explains billing rules and applicable fees for Canadian users.

Applicable fees

  • Monthly or annual subscription fee (not for Enterprise plans).
  • Service fee on gross revenue per order (rate depends on your plan).
  • Payment processing fee: CAD 0.30 per order + 2.9% transaction fee.
  • Editing fees may apply per image.

  • Your customers pay in CAD.
  • You are billed in CAD.

Payment and Service fees are deducted automatically from customer payments via Stripe. Your monthly invoice includes any applicable subscription fee and a detailed fee summary per order.

  • Customers pay in CAD.
  • GotPhoto fees are billed in USD (converted using the daily exchange rate).

What's next?
All Canadian billing will transition to CAD for clearer invoicing and stable pricing. You can opt in for updates or early migration. 

How USD billing currently works

Fees calculated in CAD are converted to USD using the daily exchange rate on the billing day.

Example

  • Order total: CAD 43.69
  • Service fee: 10% = CAD 4.37
  • Exchange rate: 1 CAD = 0.7238 USD
  • Converted fee = USD 3.16

You’ll receive your GotPhoto invoices via email, and you can also access them in your GotPhoto Admin under User Name > My Account > Finances > Financial Reports > Invoices.

Invoices for the previous month are available on the first day of each month.

Important Update (March 2026): Shift from a rolling invoice balance to invoice-matching billing.

Previously, outstanding amounts were carried over to the next invoice. To improve reconciliation, we are introducing a new system where each invoice is handled individually.

This makes it easy to see which invoices are paid and which remain outstanding.

What are the changes you will notice in your account?

  • If you paid all past invoices, your GotPhoto Balance will indicate that.
  • If your account has unpaid invoices, we will display them in the "Choose an unpaid invoice" section.
  • With the new billing type, each invoice must be paid separately.
  • If you have not saved a credit card yet, please do so.

Invoice type 1: Rolling balance billing (legacy)

For existing customers whose accounts have not yet been migrated to invoice-based billing. Balances are carried over between billing periods.

The sample GotPhoto invoice below highlights billed services, taxes, and any outstanding balances. Additional pages provide full transaction and fee breakdowns.

Legacy invoice sections explained (rolling balance billing)

  • First page of your invoice
    • Payment processing fees are 0.30 USD/CAD per order + 2.9% transaction fee (Stripe). This is the payment processing fee charged by Stripe Express.
    • GotPhoto order processing feesare a percentage, dependent on your plan type, that is applied per order on gross revenue.
      • This is the fee that GotPhoto takes on each sale for using our platform.
      • Example: If you’re on the Pro plan, your service fee is 7%. This means a service fee equal to 7% of each order’s gross revenue is charged.'

Difference for CAD billed customers and USD billed customers: 

CAD customers: Payments and GotPhoto fees are collected via Stripe.

USD customers: Payments and GotPhoto fees are included in your monthly invoice.

  • Monthly hosting fees
    • This includes your monthly subscription (Your GotPhoto Plan: Free, Growth, and Pro), if applicable. If you're on an annual plan, the annual fee is charged in the month following the activation of the annual plan.

This section can also include Editing Fees, Order Entry fees under 50 USD/CAD, and/or Entagged subscription fees if you utilize any of these services.


  • Appendix: Offsetting and payout
    • Includes the total of payment fees, service fees, and sales tax that were collected at the time of sale, as well as any payins you proceeded during the invoice cycle (if applicable).
  • Old Account Balance
    • It is the leftover amount that you owe if you have any previous unpaid invoices.
  • New Account Balance
    • This amount will reflect either a negative balance, which is the amount that you owe GotPhoto, or a positive balance. Positive balance are funds that will be credited to your Stripe account at the end of the month.
    • There can be small discrepancies due to rounding as we calculate fees to four decimal places.

Invoice type 2: Invoice-based billing (new)

For new customers and migrated existing accounts. Each invoice reflects only the charges for that specific billing period.

The difference that you will now notice: We no longer carry an old balance over to your next invoice, the section "Old Account Balance" will show "0.00" even if you have previous unpaid invoices. Please ensure to always log in to your account to ensure you've paid all past invoices. 

With the introduction of the new invoice-based billing, you will now find all past unpaid invoices in your GotPhoto Balance account section: User name > Finances > GotPhoto Balance. Each open invoice needs to be paid separately.

Quick- Tip: You can identify your billing type directly in your dashboard: 

  • The GotPhoto Balance is visible on your dashboard → Legacy (rolling balance) billing
  • The GotPhoto Balance is not visible on your dashboard → Invoice-based billing

Language settings

You can offer your online shop in English and French. Update language preferences in your Online Shop settings.

To enable French:

  1. Enable French in your shop settings.
  2. Add French translations for package names and descriptions.

  • You can switch the admin UI language at the bottom left of your dashboard.
  • Automated campaigns are preloaded in English. You can copy the source code and translate using an AI tool, then paste it into a new French profile.
